WNCSGNA Standing Rules
- Meetings
- Schedule
- A minimum of two meetings will be held each year.
- The president elect is responsible for recruiting meeting hosts for the upcoming year.
- Fees
- Basic minimum attendance fee:
- $45.00 for SGNA nurses
- $60.00 for non-member nurses
- $25.00 SGNA GI Tech/LPN
- $30.00 non member GI Tech/LPN
- $25.00 students
- Vendor fee guidelines: $350.00 minimum

- Continuing Education Hours
- All WNCSGNA meetings will have CEU's awarded.
- Cost
- The program chairman will use WNCSGNA monies judiciously when choosing printers, speaker fees, and food items.
- Schedule
- Budget
- During the third quarter of each year the board will revise and approve a draft of the budget for next year.
- A final draft of the budget will be posted on the website for review prior to the fall meeting. Members will vote to approve the budget at the fall meeting.
- An audit of the previous year will be conducted during the first quarter and reported to the members at the first general meeting.
- A copy of the Audit Committee Rules is kept in the secretary's minutes binder
- Scholarships
- A maximum of three $1000 scholarships will be awarded annually for financial assistance to attend the national meeting.
- A maximum of 6 $300 scholarships will be awarded for financial assistance toward Certification/Recertification fee.
- Members will be notified by e-mail when scholarship applications are posted on WNCSGNA website and should complete and return application to Treasurer within time frame noted and as instructed. Note: It is the member's responsibility to arrange another form of communication if e-mail/website not available. A list of members requiring regular mail notification will be kept in the secretary's minutes binder.
- The Board will review scholarship applications anonymously and recipients will be notified of their selection.
- Scholarship recipients will provide receipt to treasurer in order to receive funds. Or recipient may request treasurer to directly pay the fee (up to the amount awarded).
- Committees
- Nominating committee consists of the immediate past President and two other members.
- Audit committee consists of two members appointed by the President. Members may serve multiple years.
- Program committee to be co-chaired by a representative from each of the planned meetings for the year. The program chair will keep in contact with the board when planning meeting.
- Other committees will be established as needed.
- Committee members may attend Board meetings (non-voting).
- The Board
- The board consists of President, President-elect, Secretary, Treasurer, Member at Large and Immediate Past President.
- Secretary and Treasurer are two year positions; voted on alternate years.
- All other positions are one year terms.
- President, President elect, Secretary, Treasurer and Immediate Past President will be bonded, as suggested by SGNA.
- The President and President elect will serve as delegate and alternate delegate to the national SGNA meeting and will be reimbursed funds to include registration, transportation and hotel (double occupancy).
- When approved in the budget, the remaining elected board members may each be reimbursed $1000 for financial assistance to attend the national SGNA meeting.
- Elections
- Will be held yearly for open positions on the regional board.
- Nominees must be employed in the field of GI and/ or Endoscopy.
- The position of President-elect requires previously serving on the board as a voting member, or serving as committee chairman for 2 years.
- Prior to Fall meeting, members will be notified by e-mail that a slate of officers is posted on WNCSGNA website. Voting members should return ballot to secretary by date listed and as instructed. A member not having e-mail or website access should arrange another form of communication.
- The election results will be posted on website/and or in newsletter, and announced at the next meeting.
- The new board will assume duties in January.
- Newsletter
- The WNCSGNA Newsletter will be sent by e-mail and/or placed on the website. If a member does not have e-mail or website access it is the member's responsibility to contact the President or secretary to arrange another form of communication.
- The first newsletter will be sent in January with greetings from the new President and should be sent following each general meeting.
- The WNCSGNA Newsletter should contain information on upcoming events, and news from the regional and national meetings, and general information. Members may submit material for the newsletter. Final content to be approved by the president.
- Leadership Conference
- The President-elect will attend the SGNA Leadership conference.
- The Board has the option to send 2 board members to the conference.
- The Board has the option to assist another SGNA Region member to attend the conference.
- Revisions and Additions to the Standing Rules
- May be proposed at any meeting or in writing to the president.
- A copy of same with justifications will be presented to members either on website, by e-mail or at a meeting.
- A vote on revision(s)/ additions will be held at the next meeting
